Role Overview:
The Junior Academic Administrator plays a vital role in ensuring effective and timely communication with students, accurate tracking of payments, and the smooth dissemination of important notices.
This role demands a high level of organization, attention to detail, and a student-first mindset.
Key Responsibilities:
1. Student Communication
- Respond to all student messages via Admin WhatsApp professionally and promptly.
- Maintain a friendly yet formal tone that reflects HH Korean’s student-first values.
- Escalate issues such as complaints, payment disputes, or special requests to relevant departments.
2. Student Payment Registration & Tracking
- Register new and returning students accurately in the database or system.
- Update and maintain payment records in real-time.
- Track unpaid fees and flag any delayed payments for follow-up.
3. Monthly Payment Notice & Reminder
- Prepare monthly payment notices using Canva templates.
- Send out payment reminders through WhatsApp or email before due dates.
- Follow a structured SOP for late payment follow-ups.
4. Class Reminders & Holiday Announcements
- Send daily reminders for Replacement Classes to students, based on the updated schedule.
- Notify students about Public Holidays and HH Korean’s internal term breaks in a timely and professional manner.
- Double-check class information with Academic Coordinators to avoid miscommunication.
5. Documentation & Support
- Maintain digital records of communication and payment history.
- Collaborate with Academic and Marketing teams for smooth intake cycles and announcements.
- Support in general administrative tasks including data entry, digital file organization, and minor coordination work.
Requirements:
Education & Experience
- Minimum SPM or Diploma in Business Admin, Communication, Education or related fields.
- Fresh graduates are welcome to apply.
- Experience in admin or customer service is an advantage but not mandatory.
Skills & Traits
- Strong communication skills in English and/or Bahasa Malaysia.
- Familiarity with Google Workspace (Docs, Sheets, Drive), Microsoft, and Notion page.
- Detail-oriented, responsive, and independent.
- Able to multitask and manage timelines under minimal supervision.
- Able to communicate in Korean will be an extra credit to this role
- Basic Canva skills for editing notices.
